Privacy Policy

This policy explains what Valor Thread Company, Inc. (“we”, “us”), 1007 Main St, Sumner, WA 98390, collects when you use Logbook Fix, and what we do with it.

What we collect

• Your flight records. The text or file you upload and the flight legs we read from it (date, flight number, airports, and any tail numbers or times already in your file). Uploaded files are kept in private storage so a job can be re-run without re-uploading.
• Results. What we find for each flight from our flight-data provider, and any corrections you make.
• Contact and account details. Your email address, used to deliver results and, for monthly plans, to sign you in with emailed links. We do not use passwords.
• Payment details. Handled entirely by Stripe. We never see or store your card number. We keep Stripe’s identifiers for your payment and subscription so we can match them to your job.
• Technical data. IP address and basic request logs, used for rate limiting and abuse prevention, and a session cookie for signed-in users. We do not run advertising trackers.

How we use it

• To read your logbook, look up your flights, deliver results, and let you correct and re-check them.
• To send transactional email: your results link, sign-in links, and notices about a problem with your job. We do not send marketing email unless you ask for it.
• To bill you and to detect abuse.
• To improve matching. Responses from the flight-data provider are cached by flight number and date so repeated lookups are faster and cheaper; the cache contains public flight information, not your identity.

Who we share it with

Only service providers that need it to run the service, under their own terms:

• FlightAware (AeroAPI) receives flight numbers and dates to look up historical flights. It does not receive your name or email.
• Stripe processes payments and subscriptions.
• Vercel hosts the application, stores uploaded files, and routes requests to AI models; Neon hosts our database.
• AI model providers (via Vercel AI Gateway, currently Anthropic and OpenAI) may receive the contents of an uploaded file, including photos and PDFs, solely to read it into structured flight rows. These providers do not use the data to train models under the terms we use them on.
• AgentMail delivers our email.

We do not sell your data, and we do not share it with employers, airlines, or authorities. We may disclose data if required by law.

Retention and deletion

We keep your records so your results link keeps working and, for monthly plans, so your book accumulates over time. Email hello@logbookfix.com from the address on the job or account to have a job, an uploaded file, or your whole book deleted; we will confirm within a few days. Payment records are kept as long as tax and accounting rules require.

Security

Data is encrypted in transit. Results are reachable only through an unguessable link or your signed-in session. No system is perfectly secure; keep your results link and your email account private.

Children

The service is for working pilots and is not directed at children under 16.
